IFT was proposed a solution that would give them a total control on their Madrasah especially Full Time Hifz Program, which would generate and nurture the progression of students in a much more strategic and structured way. The most important criteria for IFT was automation and reporting. They wanted to make sure the tool would grow as they grew and that it would have reliable service and good uptime. With all that in mind they found Ad-Din to be the best fit solution to take their Full Time Hifz program and automation strategy to the next level.

THE CUSTOMER
Established in 1969, the Islamic Foundation of Toronto (IFT) is one of the oldest Muslim organizations in Canada.

It moved beyond a neighborhood mosque and grew into a multidimensional center that would serve as the hub to unite the residents of the Greater Toronto area. With an area of 53, 000 sq. ft, the institution encloses spacious prayer halls for brothers and sisters, 12 well-equipped classrooms, a large cafeteria and a kitchen. A gymnasium which doubles as an auditorium provide our students and community members an opportunity to unwind as well as to hold special events. A library stocked with both religious texts, research items as well as fiction provide loan services for all patrons. A mortuary is also present to serve the deceased within our community as part of our burial services. To ensure accessibility for all visitors, we also have ramps and an elevator along with designated parking spaces from amongst our 200 spots.

The Center can be easily reached by car and public transportation and is open for the five daily prayers. Nearly 2000 worshippers make up the Friday congregation for the Jumuah prayer. Our full-time school employs a highly-qualified staff and boasts a burgeoning student population of over 600 students from Junior Kindergarten to Grade 12. The evening and weekend Islamic schools count over 400 students as their pupils. Our educational services are further augmented with the implementation of a Full-Time Hifz School along with Evening Hifz classes. For adult members, they host daily programs ranging from Arabic to Fiqh classes.
To begin with the IFT Religious School Management decided to on-boarded Full Time Hifz program on Ad-Din, It is the aim of the IFT Full-Time Hifz Program for students to complete the Hifz-ul Qur’an under the guidance of qualified and experienced Teachers according to the tenets of Tajweed and Tarteel.

In Full Time Hifz program every student was provided with an Agenda book/Workbook where their daily progress, attendance and behavior were recorded. The book was to stay with student with an intent for parents to review in the evening and sign and return next day. Students are mostly age under 15. The due to the age factor physical handling and integrity of this book was constantly compromised which in turn was resulting in reporting issues at teacher end as the data was manually totaled up on a weekly-monthly basis by teachers within it, further recorded in a monthly tracking sheet for principal’s review and record.

One of the process was to take a late slip or absent notification that was to be reported to office by a student and office administrator to manually call and inform parents about it. This process alone was time consuming and causing grief for a simple task.

IFT was using a variety of technologies to manage information, a homegrown IRM system for record keeping with many missing functionalities, manual reporting. In addition the organization’s administration staff relied heavily on Microsoft Excel and manual processes. However, despite the discrete technologies, the organization’s stakeholders wanted to transform from this to one converged solution that they can rely on.

To mitigate the challenges IFT Board after multiple demo and evaluations accepted the proposal and selected Ad-Din.  Ad-Din team ensured the smooth onboarding and support is just perfect,” Maulana Abdurrahman said.
THE CHALLANGE
THE SOLUTION
With the help of Ad-Din’s Professional setup service and input from Qari Yunus Ingar (Principal) and Maulana Abdurrahman Hafejee the data were structured in csv and imported in Ad-Din creating Students, Parents and Teacher accounts, linking parents to students creating Class and sections, allocating students to respected sections and linking teachers to their classes all were carried out within a short timespan giving a head-start to the organization creating the structured, efficient and data driven environment for the Full Time Hifz Program at IFT. Dedicated hands-on training sessions were provided to teachers.

One of the biggest challenge at IFT Full Time Hifz Program was to capture the daily Students progress for Quran Memorization which is structured in three main elements Lesson/Sabaq, Immediate Lesson/Sabaq Para and Revision/Dour. All elements are different for each student on a daily basis. Record Keeping, Tracking, Communicating and Reporting on these elements are core needs of IFT.

Ad-Din offers a very comprehensive solution to these needs under Madrasah module in Assignment feature. Due to the independent progress on the program in each Class section for each student, Quranic Assignments were created for each of these elements to capture the progress i.e. Quran by Ayah style progression tracking for Lesson/Sabaq and Immediate Lesson/Sabaq-Para and Quran by Juz/Quarter for Revision/Dour.

Each teachers today gets to record complete progress of these elements/subjects for each students on a daily basis. Solution not only automatically informs the respected parents on the daily child’s progress on their Ad-Din Mobile App but also tracks and report by Class wide summary, student’s summary and students detailed progress report as needed.

Ad-Din’s automated communication has fill the parent-teacher communication gap to great extent, saving administrative time, IFT plans to onboard the Evening Hifz program in near future and scale to other programs slowly to drive more value from the product.

IFT also uses Ad-Din’s powerful prayer time management, events, messages module for push and email notification and announcements module for publishing on Masjid LED display system, Website and Ad-Din’s robust Mobile and Tablet App.
Perhaps the most conspicuous benefit the organization has gained is automation. “Before we wouldn't really have a way to knock off multiple things with single data entry,” says the management, “and only takes minutes now.” As an example, he cites the daily Assignment capturing is now so efficient and takes a minute for teacher to not only mark it, but know the previous assignment status, automatic notification via email and push notification to parents whether the student passed the Lesson/Sabaq, Immediate Lesson/Sabaq Para and/or Revision/Dour as well as effectively track, report and notify on Attendances all in real-time with instant reporting capabilities.

We are seriously benefiting from Ad-Din Solution, it is quite comprehensive, parents are happy with the instant notifications from many modules driving the most value from product, “said Qari Yunus Ingar.
